Why should I hire a Wedding Planner or Coordinator? On average, a weddings can take up to 250 hours to plan. Time is of the essence for all of us, and that’s where Wedding Planners and Coordinators come in! We’re here to save you time and take the unnecessary stress off your shoulders during the planning process and on your wedding day! A full service Wedding Coordinator will typically step in 8 weeks or so prior to your wedding day to finalize and confirm all of your vendor details for you. This includes correspondence with vendor arrival/departure times, facilitating final payments, creating the wedding day timeline, and finalizing ceremony and reception layout details. Last but not least, Wedding Coordinators will orchestrate your ceremony rehearsal and be the main point person for vendors, guests, and the bridal party on your wedding day. My job is to ensure that everything runs on schedule and take care of all of the details so you and your family can enjoy a totally stress-free day! A Wedding Planner will step in several months before your wedding day. In addition to the responsibilities of a Wedding Coordinator, a Wedding Planner will research and help select your vendors, organize your budget, accompany you to vendor meetings and ask the tough (and often overlooked!) questions you never knew to ask, and review vendor contracts. I can also provide creative design ideas and secure decor items and rentals for you! For couples who don’t know where to start or lead a very busy life with little time to plan a wedding, hiring a Wedding Planner is an invaluable investment that will pay for itself many times over!
I am already working with a Venue Coordinator at my venue, and he/she is very helpful. Why do I need your help? Typically, Venue Coordinators have the job of overseeing the wedding details that are directly related to the venue. This includes things like unlocking the doors and turning on the lights, setting up tables and chairs, managing in-house catering staff, and overlooking guest safety. It is not in their job description to confirm your vendors prior to your wedding day, orchestrate and direct your rehearsal, oversee vendors on your wedding day, cue musicians and speeches, and make sure all of the day’s events are running according to schedule. With that being said, Venue Coordinators and Wedding Coordinators DO work very well together! Our job is to ensure that you can enjoy a stress-free wedding day with your family and loved ones!
What if I don’t see exactly what I am looking for in one of your Packages? No worries! All celebrations are different, which is why I offer custom packages to fit your exact needs and budget! Once we get in touch, I’ll want to get to know you a little bit more and ask a few questions about your wedding plans. I’ll also want to get a good feel for where you are needing help and answer any questions you might have about my responsibilities. From there, I will determine if a certain package is a good fit or customize something to meet your exact needs!
How far are you willing to travel? What are the costs associated with that? Due to our centralized location, all mileage is included within an 90 mile radius from Monticello, MN! This includes weddings in Alexandria, Fergus Falls, Cambridge, St. Cloud, Brainerd, Hutchinson, and Chisago City (just to name a few locations!). Additionally, most of the Minneapolis/St.Paul metro is included in this radius as well! We are of course willing to travel anywhere outside of 90 miles, there will just be an additional fee for mileage and lodging.
How many weddings do you plan/coordinate per weekend? I plan/coordinate no more than one wedding per weekend, with no more than three weddings per month. I am a firm believer in not over-committing myself, so I control my workload in order to give you the time and attention you deserve!
How do you determine which vendors to recommend to your clients? I tailor all vendor referrals to fit your needs, values, and budget. If you choose to hire Coalesce Weddings and Events as your Wedding or Event Planner, I recommend vendors that are tried and tested, and who would perfectly complement your wish-list and event vision.
Will I still have a say after hiring a Planner or Coordinator? Most definitely! Your wedding day is YOUR day. I'm here to guide you through the planning process and give you as much assistance that you need! In the end, I am focused on ensuring that your wedding day represents YOU!
What is your biggest advice for soon to be married couples? Enjoy this special time as an engaged couple! It’s so easy to get overwhelmed by all the options, endless to-do lists, and pressures of what the “perfect” wedding looks like. Give yourself some grace during the planning process and keep at the forefront what's most important to you. On your wedding day, the first few moments spent with your new husband/wife and the priceless memories that you'll make with your guests is what it's all about! My job is to step in and take care all of the details so that you and your loved ones can celebrate and soak it all in!
